Privacy Policy
Effective October 12, 2026
ShowOnce ("we", "us") turns screen recordings and company documents into training guides. This policy explains what we collect, why, who processes it and how to delete it. Questions or requests: use our contact form.
What we collect
- Content you give us. Screenshots taken while you record (only when your screen changes; we never record video or audio), the text of your narration, your notes, the text of files you pick and the PDFs you upload, the tools and role you type, and the questions people ask a guide's AI trainer.
- License key, if you buy a plan, so we can check your plan with Whop.
- IP address, only to enforce Free-plan limits and stop abuse. Deleted when the month ends at the latest.
- Contact messages: your email and what you write to us.
- Record of your acceptance: when you tick the box to accept our Terms and this policy, we store the date and time, the versions you accepted, your IP address, your browser type and, if you entered one, your license key. It proves the agreement between us.
- Browser storage. Your list of guides, their edit keys and your license key are saved in your own browser (localStorage) so you don't need an account. We don't use cookies, analytics, ads or tracking pixels.
How we use it
Only to build and show your guides, answer trainer questions, apply plan limits, prevent abuse and reply to you. We don't sell or share your personal information, we don't use it for advertising, and we don't use your content to train AI models.
Who processes it
- Cloudflare hosts the app and stores guides.
- Anthropic runs the AI (Claude) that reads screenshots, files and questions to write guides and answers. Under Anthropic's commercial terms, data sent through its API is not used to train its models.
- Whop processes payments and licenses. We never see your card details.
- Your browser's speech service. If you use live narration, your browser (for example Google Chrome or Microsoft Edge) sends your voice to its own speech-recognition service under its own privacy policy. We only receive the resulting text.
Data may be processed in the United States and other countries where these providers operate.
Who can see a guide
Anyone with a guide's link can open it, including its screenshots, and ask its AI trainer questions. Share links only with your team. Guide pages are hidden from search engines.
How long we keep it
- Guides, with their screenshots, notes and file text: until you delete them.
- Uploaded PDFs: deleted as soon as the guide is built.
- IP-based counters: deleted when the month ends at the latest.
- Contact messages: up to 12 months.
- Acceptance records: up to 4 years, the time we may need them to resolve a legal claim.
Your rights and choices
- Delete any guide you made with the Delete guide button on its page.
- Ask us to access, correct or delete your data through the contact form (choose "Privacy request"). We answer within 45 days and won't treat you differently for asking.
- We don't sell or share personal information, so there is nothing to opt out of. We honor Global Privacy Control signals.
Sensitive information
Don't record or upload passwords, health information, government IDs, payment card or bank numbers, or other sensitive data. ShowOnce is not built for regulated data such as protected health information. We don't collect biometric information.
Children
ShowOnce is a business tool for people 18 and older. It is not directed to children and we don't knowingly collect data from anyone under 13.
Security
Training material often contains sensitive company information, so we protect it and keep as little as we can:
- Data is encrypted in transit (HTTPS/TLS) and at rest (AES-256, by our hosting provider Cloudflare).
- Your content is never used to train AI models.
- No video or audio is recorded. Word, PowerPoint, Excel and text files are read in your browser and only their text is sent; PDFs are deleted right after the guide is built.
- The AI is instructed to replace passwords, keys and card numbers it sees with [hidden]. Please still avoid recording them.
- Guides are reachable only through long random links, are hidden from search engines, and only the creator's browser holds the key to delete them.
No system is perfectly secure; if a breach affects your data, we will notify you as the law requires.
Changes
If we change this policy we'll update the date above, and for material changes we'll post a notice on the site.
